Getting started

Quick-start checklist

Create, test and publish your first form.

  1. Create and verify your account. Follow the verification link sent to your email address, then accept the Terms of Service when prompted.
  2. Complete your profile. Add your name, company and postal address under Profile.
  3. Choose a plan. New paid subscriptions start with a 14-day trial. Your form and AI allowances are shown on the dashboard.
  4. Choose how to start. Select a blank form, a template, or an editable draft generated by Gorilla AI.
  5. Add and configure questions. Use Preview throughout, then publish when ready.
  6. Share the form. Copy its public link, print its QR code or paste its embed code into a website.
  7. Review results. Open Results for responses, conversion analytics, exports and Gorilla AI insights.

Good practice: submit one test response yourself before sharing a form publicly.

Getting started

Set up your account and branding

Keep customer-facing and billing details accurate.

Profile details

Open Profile to update your first name, surname, company name, email address, website and postal address. Required fields are marked in the page.

Your logo

Upload a JPG, PNG or WebP logo up to 5 MB. The logo can be saved on any account, but it appears on public forms and completion screens on Pro and Enterprise plans. Replace or remove it from the same screen.

Subscription billing versus form payments

Billing pays for your Gorilla Forms subscription. Payments configures money collected from people completing your product forms. They are separate settings.

Getting started

Plans, trial and feature availability

Understand allowances before you build.

PlanFormsGorilla AI/hourKey access
Basic · £1/month21Standard display
Standard · £5/month52Conversational, logic and email automations
Pro · £10/month104Logo branding and unlimited tracked QR codes
Enterprise · £20/month50UnlimitedLogo branding and unlimited tracked QR codes

All plans include unlimited responses, standard forms, scored quizzes and conversion analytics. New subscriptions receive a 14-day trial and may be cancelled during the trial. Admin may assign complimentary plans or override form and hourly AI limits for individual accounts.

Build forms

Create a form: blank, template or Gorilla AI

Three starting points, one fully editable builder.

Blank form

Creates an empty draft for complete control. Give it a title, then use Add question to choose fields.

Template

Browse categories and preview a template before copying it into your account. The new form is independent of the original template and can be edited freely.

Gorilla AI

Describe the purpose, audience and approximate number of questions. Mention particular needs such as a quiz, matrix, Yes/No question, star rating, products, prices, quantities or an order total. Always review generated wording, answers and prices before publishing.

Clone

The dashboard’s Clone action creates a new draft copy. It counts toward the form allowance.

Build forms

Use the form builder

Add, edit, arrange and preview questions.

  • Add question: opens the field picker containing all 21 field types.
  • Edit: opens the question settings drawer. Save Question applies changes.
  • Move: use the up/down controls or drag question cards into order.
  • Side-by-side fields: drag a compatible answer field beside another compatible field. On narrow screens they stack automatically.
  • Delete: permanently removes that question and its collected answer data; take care on a live form.
  • Preview: opens a test view without publishing changes as a public response.
  • Publish/Unpublish: makes the public link active or returns the form to draft.

Remember: form settings and question settings have separate Save buttons.

Build forms

Form settings reference

What every control in the left settings panel does.

Title
The form name shown to respondents and in your dashboard.
Description
Optional introductory text below the title.
Form display
Standard shows the form normally; Conversational shows one question at a time with progress and keyboard navigation. Conversational display starts on Standard.
Submit button text
Replace “Submit response” with wording suited to the task, such as “Send enquiry” or “Complete booking”.
Submit button colour
Sets the Submit, Next and Back button colour.
Form background
Selects the public form’s page background colour.
Success message
The message shown after a successful non-conditional completion.
Header image
Select an uploaded image to display at the top of the form.
Protect with a password
Sets an 8–128 character password for the public form. Existing passwords can be replaced or removed.
Collect payment
Requires a configured PayPal or Stripe provider and at least one Product field.
Email every response
Sends a copy of every new submission to the account email address.
Accept responses
Master switch for opening or closing the form.
Opens/Closes at
Optional automatic availability dates and times.
Maximum responses
Closes the form after the specified number of submissions.
Closed message
Explains why a visitor cannot currently complete the form.

Any enabled availability restriction can close the form. The closing date must be later than the opening date.

Build forms

Publish, share, clone or delete a form

Manage each form from the builder and dashboard.

A draft has no active public response page. Select Publish after adding at least one question. Published forms gain Open, QR code and Embed actions. Unpublishing stops public access but retains the form and existing responses.

Clone makes a new draft copy. Delete permanently removes the form, its responses and associated data after confirmation. Export anything you need before deletion.

Field settings

Settings shared by most fields

Question text, help, images, requirements and conditions.

Question
The label or instruction respondents see.
Help text
Optional supporting information beneath the question.
Required question
Prevents submission until an answer is supplied. Calculated and structural fields do not use this setting.
Question image
Adds an image from your reusable media library.
Only show if
Shows the field only when another answer equals, does not equal, contains, is greater than, is less than, or has been answered.
Insert a previous answer
Adds an answer token to a later question or help message, creating personalised wording.

Choice-based conditions provide a list of valid values. Text and numeric comparisons accept a typed value. Conditional visibility and full branching routes are different: visibility hides a field; branching changes where the respondent goes next.

Field settings

Text, company lookup, date and signature fields

Collect everyday respondent and business details.

Aa

Short text

Names, references and concise answers. Supports all common field settings.

@

Email

Requires a correctly formatted email address. Email fields can also supply the recipient for an automation.

Long text

Multi-line comments, descriptions and detailed feedback.

123

Number

Numeric answers that can be reused in calculated fields and numeric conditions.

◫

Date

Uses the respondent device’s date picker.

CO

Company lookup

The respondent searches by UK company name or registration number. A name search shows matching companies to choose from; Gorilla Forms then retrieves the registered office address, company type, SIC activities and incorporation date from Companies House and saves them together with the response.

✍

Signature

Captures a hand-drawn signature on desktop, tablet or mobile. Check your legal requirements before relying on any electronic signature.

Field settings

Dropdown, multiple choice, checkboxes and Yes / No

Configure selectable answers.

⌄

Dropdown

One selection from a compact list. Enter one option per line.

◉

Multiple choice

One selection from a visible radio-button list. Enter one option per line.

☑

Checkboxes

Allows one or several selections. Enter one option per line.

Y/N

Yes / No

Choose either separate Yes/No radio buttons or a single confirmation tick-box display.

These fields are especially useful with conditional display, branching and email rules because the configured options become selectable rule values.

Field settings

Star rating, emoji voting, ranking and matrix

Build feedback and research questions.

★

Star rating

Choose a 5-star or 10-star scale. Star ratings can be given a correct answer and points in quiz mode.

🙂

Emoji voting

Enter one voting row per line. Each row receives an expressive sentiment scale.

↕

Ranking

Enter one item per line. Respondents arrange the items into their preferred order.

▦

Matrix

Enter row statements and column response options separately. Choose Standard or Coloured table style; coloured matrices also have a table colour setting.

Field settings

Calculated, product and order total fields

Calculate values and create payment forms.

Calculated field

Use Build equation to insert other question values and the +, −, × and ÷ operators or parentheses. Calculations work best with earlier Number fields. Calculated fields are read-only for respondents.

Product

Enter one item per line as Name | Price, for example Adult ticket | 12.50. Enable Allow customers to choose a quantity when more than one of an item may be purchased.

Order total

Displays the live total of product selections. Add it after Product fields so customers can review the amount before submitting or paying.

Payment checklist: configure a provider, add Product fields, add an Order total, then enable Collect payment in Form settings.

Field settings

Section headers, page breaks and conditional endings

Structure the journey and tailor completion screens.

Section header

Adds a heading and supporting text inside a form. Choose a header colour and optionally attach an image.

Page break

Starts a new page in Standard display and adds Next/Back navigation. Set a page-break name, optional new-page heading and header colour. It can also be conditional.

Conditional ending

Creates a named completion outcome with its own message. Use “Only show if” for a simple condition or route to it from Logic & branching. Ending messages support previous-answer piping.

Field settings

Images, side-by-side layout and answer piping

Improve presentation and personalise later questions.

Media library

Header and question images are selected from a reusable library. Upload JPEG, PNG, WebP or GIF files; images are optimised and the library shows usage out of 100 MB. Removing an image from a question does not delete it from the library.

Side-by-side layout

Drag supported answer fields beside each other in the builder. Half-width fields automatically stack on mobile.

Answer piping

In a later question, choose an earlier question under Insert a previous answer, then insert it into the question title or help text. The generated token resembles {{answer:12}}. If the earlier answer is unavailable, no answer text can be inserted.

Advanced forms

Logic, branching and visual maps

Send respondents down different paths.

Available on Standard, Pro and Enterprise. From Form settings, open Logic & branching.

  1. Choose the source question under When question.
  2. Select Equals, Does not equal, Contains, Greater/Less than, Has been answered or Has not been answered.
  3. Choose or type the answer value.
  4. Choose what happens: go to a later question/page, show a conditional ending, or submit immediately.
  5. Set priority; lower numbers run first. Leave Rule active selected, then save.

Destinations must be later in the form to prevent loops. Up to 100 routes may be stored per form. The visual map shows the normal path, active branches and paused routes. Existing “Only show if” field conditions still apply.

Advanced forms

Create and score a quiz

Correct answers, weighted points and pass marks.

  1. Open Quiz settings from the builder.
  2. Enable quiz mode, set the pass mark from 0–100%, and choose whether participants see their result.
  3. Add compatible questions: Multiple choice, Dropdown, Yes / No or Star rating.
  4. Return to Quiz settings and select each correct answer and its point value from 1–100.
  5. Save the answer key, preview and test both passing and failing routes.

A question set to “Not scored” does not contribute points. Results include average score, passes, pass rate and highest score.

Advanced forms

Email automations

Send targeted follow-ups after submission.

Available on Standard, Pro and Enterprise, with up to 10 rules per form.

  1. Name the automation and keep it active.
  2. Run it for every response or select a question and condition. Choice fields offer their configured answers automatically.
  3. Send to the form owner, a fixed email address, or the answer from an Email field.
  4. Write the subject and message. Personalise them with {{form_title}}, {{response_id}} or {{answer:QUESTION_ID}}.
  5. Save and submit a test response. Existing rules display sent, failed and last-sent information.

Only send relevant messages that recipients reasonably expect and that you are permitted to send.

Sharing & payments

Set up PayPal or Stripe form payments

Receive customer payments into your own provider account.

PayPal

Open Payments, enter the primary email address registered to your PayPal account, select PayPal and save.

Stripe

Select Connect with Stripe and complete Stripe’s onboarding. Return to Payments and refresh the connection if more information is requested, then select Stripe and save.

Enable a payment form

Add at least one Product field, optionally allow quantities, add an Order total, then select Collect payment for products on this form in Form settings.

Customer payments go directly to your connected PayPal or Stripe account. Provider fees apply. The form owner remains responsible for products, refunds, disputes and taxes.

Sharing & payments

Public links and website embedding

Open forms directly or place them inside another website.

Publish the form first. Copy the public link from the builder or dashboard to share by email, message or social media.

Embed in WordPress

  1. Select Embed beside the published form.
  2. Select Copy embed code.
  3. In WordPress, add a Custom HTML block and paste the complete iframe and script code.
  4. Preview the page and publish it.

The embed is full width, starts with a minimum height and uses the Gorilla Forms script to adjust its height as pages change. The host website must permit iframe and script code.

Sharing & payments

Print a QR code for a form

Let people scan directly to a published form.

Select QR code beside a published form, then open the designer. Choose Classic, Card, Label left, Label right or Poster; select a high-contrast colour; and change the call-to-action text before printing or downloading the SVG. Pro and Enterprise accounts can add their saved account logo in the centre. Test the final printed code with a phone before distributing it. This form-sharing code points directly to that form; tracked destination QR codes are a separate Pro and Enterprise feature.

Sharing & payments

Tracked QR codes and scan analytics

Create reusable QR links for any web address.

Pro and Enterprise accounts can open QR Codes and create unlimited dynamic codes.

  1. Enter a descriptive name and a complete http:// or https:// destination.
  2. Choose a design, colour, call-to-action and optional account logo, then print it or download the SVG.
  3. Change the destination later without reprinting—the tracking URL stays the same.
  4. Pause or reactivate the code as needed.

Analytics include total scans, estimated unique visitors, 7/30-day activity, device type, browser, operating system, referrer and recent IP addresses. Obvious bots are excluded from headline totals. Scan data can be exported. Deleting a code removes its scan history and makes printed copies stop working.

Results

View responses and submission details

Review individual answers and response metadata.

Select Results beside a form. Each response shows its submission time and answers. Expand Submission details for the stored IP address, browser/operating-system user agent and referrer when supplied. Paid submissions also show provider, amount and payment status.

Enable Email every response in Form settings when the account owner should receive each submission. This is separate from conditional email automations. Deleting an individual response is permanent and updates the displayed analytics.

Results

Conversion analytics and Gorilla AI insights

Understand completion behaviour and response themes.

Conversion

The funnel reports form views, started visits, completed submissions, conversion rate and abandonment. “Where people stopped” groups incomplete visits by the furthest question reached.

Response analytics

See total responses, recent activity, written-answer counts, trends, strongest signals and question-by-question numeric or choice breakdowns. Quiz forms add score metrics.

Gorilla AI response insights

With your confirmation, a limited sample of answers—with obvious contact details removed—is processed to produce a summary, sentiment, themes, notable findings and suggested actions. Refresh after new responses arrive. Do not use AI analysis for sensitive-information forms, and review results because AI may be inaccurate.

Results

Export responses

Choose CSV, Excel or one of two PDF layouts.

  • CSV Export: plain tabular data for importing into most systems.
  • Excel Export: formatted XLSX workbook with headings and filters.
  • PDF Summary: printable totals and question breakdowns.
  • Individual Response PDF: each response begins on a separate page in a compact form-style layout with discussion notes.

The Export button appears after a form has received responses.

Account

Billing, invoices and cancellation

Manage the subscription separately from form payments.

Open Billing to see the current plan, status, trial or renewal date and paid invoices. A downloadable Stripe invoice appears after each successful subscription payment. £0 trial invoices are not listed.

Use Manage or cancel subscription to open the Stripe billing portal when available. Cancelling during a trial prevents the first charge; cancelling an active subscription normally schedules access to end at the displayed period date. Complimentary accounts are managed by Gorilla Forms admin.

Account

Privacy, security and deleting an account

Your responsibilities when collecting personal data.

Only collect information you have a lawful reason to use. Tell respondents why you need it, who receives it and how long you retain it. Take particular care with health, financial, identity and other sensitive information. Form passwords restrict access but do not replace an appropriate data-protection process.

The account owner can use Profile → Delete my account to permanently remove the profile, forms, responses and uploads. This action cannot be undone. Export required records first. Review the Privacy Policy and Terms of Service for the full service rules, including inactive-data provisions.

Account

Troubleshooting common problems

Quick checks when something does not work as expected.

The form cannot be submitted
Check required questions, form availability, opening/closing dates, response limit and payment completion. Test both Standard and Conversational preview if applicable.
The form says it is closed
Enable Accept responses and check scheduled dates and Maximum responses in Form settings.
Payment collection is disabled
Finish provider setup under Payments, add a Product field, then return to Form settings.
Embed is blank or the wrong height
Paste both the iframe and script from Embed into a Custom HTML area. Confirm the host allows scripts and the form remains published.
An email did not arrive
Check spam, the account or recipient address, whether the rule is active, its condition and its delivery status. Submit a fresh matching response.
A feature says Upgrade
Conversational display, branching and automations require Standard or above. Account-logo branding and tracked QR codes require Pro or Enterprise.
No analytics appear
Publish and open the public form rather than relying only on Preview. Some panels appear only after a view, start or response exists.
You reached a form or AI limit
Wait for the hourly AI window to reset, delete an unneeded form, choose a larger plan or contact admin about an account override.
